Order Planning and Admin Coordinator

We are looking for an Order Planning and Admin Coordinator to strengthen our team in Singapore. In this role, you will oversee order planning, administrative support, office management, and vendor coordination, ensuring smooth daily operations while liaising with internal teams and headquarters.

In this role, you will:
- Plan and manage orders for all devices needed to clients, ensuring stock aligns with demand while liaising with Sales Team and HQ to coordinate device orders.
- Prepare and approve standard client documentation using our internal systems, supporting CEO and Sales Team while ensuring compliance with company procedures.
- Communicate effectively by ensure efficient communication with sales and operations team.
- Manage the company’s general phone line, ensuring timely responses and proper follow-up.
- Oversee office-related matters such as pantry supplies, aircon servicing, parking arrangements, meeting room reservations, and mailbox checking, while liaising with vendors to source cost-effective goods and services
- Support HQ communication by ensuring all queries and document processing are handled efficiently, streamlining workflows and enhancing overall operational effectiveness.
What we expect of you:
- Good English language skills (both spoken and written), as it will be your primary working language.
- At least two years of experience in a relevant industry, preferably in operations, administration, or supply chain management
- Excellent organizational abilities to efficiently plan orders, manage documentation, and coordinate office processes.
- Attention to detail to ensure accuracy in procurement, documentation, and order fulfilment.
- Ability to respond promptly to queries, liaise with different teams, and handle internal coordination professionally.
- Strong problem-solving skills with a proactive approach to resolving office-related issues, improving vendor management, and optimizing workflows.
- Adaptability and ownership in taking on administrative tasks, supporting multiple teams, and contributing to overall office efficiency.
