Administrative Assistant

We are seeking a detail-oriented and proactive Administrative Assistant to join our team in Lima-Peru. An administrative assistant is a multifaceted professional who facilitates the day-to-day operations of the office, ensuring that everything runs smoothly and efficiently, providing support in a variety of tasks ranging from document and communications management to logistics coordination and customer service.

In this role, you will:
- Prepare quotes for national and international shipments
- Prepare and upload Excel files with IMEI information to the OSIPTEL portal, and ensure data accuracy and compliance with OSIPTEL requirements.
- Send documentation to the outsourcing provider
- Generate payment links in the OPEN PAY platform, requested by sales representatives (in Soles or US Dollars), and inform the sales representatives by email, and maintain records of payment and confirmations.
- Record and file employee vacation requests and medical leave.
- Personalize messages for employee’s important dates and ensure timely delivery (welcome, birthdays, anniversary, etc.)
- Request the renewal of Life Insurance and inclusion
- Ensure data accuracy (Life Insurance) and compliance with MINTRA requirements.")
- Review and enter vacations, medical leave, or permits in the DICON attendance system, and send the information to the direct supervisors of each area.
- Monitor inventory levels and anticipate needs, by requesting monthly supplies of cleaning and office supplies
- Review office requirements, maintenance, and scheduled events, evaluate supplier options, obtain quotes and ensure cost-effectiveness.
- Perform other administrative tasks as needed
- Maintain confidentiality of employee data.
- Ensure compliance with company policies and legal regulations.
What we expect of you:
- Have technical or university education in administration or related fields
- Experience in administrative and support areas (2+ years)
- Have excellent skills in working with Microsoft Office programs (Word, Excel,PowerPoint, Outlook) and ERP systems
- Organization, effective communication, discretion and confidentiality, problem-solving skills, and teamwork are all essential qualities for an administrative assistant
- Good English level is a plus for the position.
